Learn how to turn client insights into a cohesive project profile that sets the tone for success. In this training, we’ll walk through every step—from organizing questionnaire data to creating stunning design boards—giving you the tools to keep your workflow efficient, organized, and stress-free.

Introduction & Context (0:00 - 2:00)
Hi, everyone! So glad you’re here for today’s training. Let’s start with a quick recap of where we’ve been: First, we dove into gathering questionnaire data—because, let’s be real, good data is the foundation of a great project. Then we talked about how to summarize those initial client meetings into actionable insights.

Today, we’re taking things one step further. The goal? Turning all that information into a polished, cohesive project profile that sets the stage for a seamless design process. Think of it as creating the playbook for the entire project. Ready? Let’s dive in!

Setting the Stage (2:00 - 5:00)
Here’s the deal: A well-organized project profile is your secret weapon for keeping your workflow smooth and stress-free. I’ll show you my process using MyDOMA (a game-changer for me), but you can adapt these steps to whatever project management software you’re using.

For context, I’ll share how I’ve worked remotely with clients, especially on semi-custom builds and new construction projects in sunny Florida. This is your behind-the-scenes pass to how I organize and streamline everything—so grab your coffee, and let’s get started!

Gathering the Project Data (5:00 - 8:00)
The first step is downloading and organizing all your client’s questionnaire responses. A quick note: Always prioritize client confidentiality. Save images and references separately if needed, and gather everything—preferences, style inspirations, budget details, and visual references—into one easily accessible space. Trust me, this upfront effort makes the entire process smoother later on.

Prepping for the Software Setup (8:00 - 10:00)
Next, we format the client and project data for easy integration into the software. Here’s a tip: Tools like a design assistant GPT (yes, AI can be your BFF here) can save you hours by automating repetitive tasks. Whether it’s generating client summaries or formatting style boards, these tools are becoming must-haves in the design world.

Creating a New Project in MyDOMA (10:00 - 15:00)
Now for the fun part: creating the project in MyDOMA using their “Create with Max” feature. I’ll walk you through copying and pasting client info, setting up rooms/views, and managing budgets and files. Plus, we’ll cover a few pro tips, like dealing with character limits and setting up folders to keep your media library tidy.

Utilizing Project Templates (15:00 - 17:00)
Let’s talk templates—because why reinvent the wheel? I’ll show you how to choose a contract template, embed questionnaires, and set up your design boards. We’ll also discuss tweaking calendars, proposals, and notes for each project.

Exploring the Project Dashboard (17:00 - 20:00)
The dashboard is your command center. I’ll walk you through the overview tab, where all project details land, and show you how to invite team members, manage events, and track contracts and invoices. The “Files and Media” section is my favorite—it’s the ultimate hub for all your project documents.

Assigning Products & Views (20:00 - 25:00)
Next, we’ll explore how MyDOMA’s “Views” feature helps you organize items by room or category. I’ll show you how I add products from my library or use their browser extension to clip new finds. We’ll also cover tagging systems for filtering and presenting options to clients in super-clear formats.

Creating Design Boards (25:00 - 28:00)
Design boards are where the magic happens. I’ll show you how to link products to rooms, annotate your boards, and make them interactive for client feedback. Whether you’re using Photoshop, Canva, or MyDOMA, the goal is to bring your vision to life in a way that clients can’t resist.

Wrapping Up & Next Steps (28:00 - 30:00)
